Privacy Statement

Mindful that the purpose of the Wiltshire Horn Sheep Society (WHSS) is to maintain, develop and promote the UK’s pedigree Wiltshire Horn Flock on behalf of the Society Membership. The Society offers non-veterinary guidance and information about the breed to commercial farmers, smallholders, enthusiasts, breeders and consumers, including purchase of pedigree stock, and details of shows and sales.

The WHSS complies fully with the General Data Protection Regulation (GDPR). Copies of this policy document are available from the Secretary on request. For any queries or concerns regarding GDPR, please write to the Wiltshire Horn Sheep Society, Crouchley Hall Farm, Crouchley Lane, Lymm, Cheshire, WA13 0AT.

Members

We take your privacy seriously and will only use your personal information in a legitimate manner to administer your account and to provide the services you require as a fully paid up member of the Society.

The information (name, address, telephone numbers and email addresses) you supply to the Society may be used for the following:

  • To contact you regards to your membership or animal registrations
  • To display your membership listing in the annual printed flock book
  • To maintain a current Members Directory on the Society website.
  • To send you a copy of the annual flock book, regular newsletters and other correspondence relating to the breed and Society matters (post, email, text & telephone)
  • We may pass your details on to livestock markets, Society accountants, Grassroots Software, flock book printers & binders and our bulk email service provider.
  • We may pass on your contact details over the phone and/or email to Society members and other potential customers/breeders.
  • We will not share your details with organisations outside of the Society unless we are legally obliged to do so.
  • The Society may publish photographs of members either showing stock or spectating at shows and/or sales on social media, the society website, the annual flock book or in society newsletters.
  • A copy of each year’s annual flock book (containing members details) will be lodged in the Wiltshire & Swindon Archive.

Your information will be held electronically for the duration of your membership. After which if you wish to have your details removed from the database, please contact the Secretary in writing to request this removal. If you are unhappy with the way the WHSS handles your data, you may complain to the ICO www.ioc.org.uk

Non Members

From time to time we gather information from non members.

Following Society Sales, we may gather the names and postal addresses of purchasers. Non-members are sent correspondence enabling them to enhance their purchase by becoming a member of the Society to allow future registration of stock.

Non members may contact the office to request a membership form and/or sales catalogue. We will request your name, postal address, email address and telephone number to fulfill your request. This information will be used to post out the form and will then be deleted.

The WHSS also occasionally runs competitions in which name and contact details are gathered.

The Society will only hold the above information for as long as necessary and then we will look to dispose in a safe manner.  If you do not want your information to be used, please contact the office immediately. The WHSS will not pass your details on to any third party outside of the Society unless legally obliged to do so.If you are unhappy with the way the WHSS handles your data, you may complain to the ICO www.ioc.org.uk

About the Wiltshire Horn Sheep Society

The Wiltshire Horn Sheep Society exists to promote, preserve and improve the Wiltshire Horn breed, to define the breed standard and record pedigrees. It came into being on the 13th January 1923, when 40 farmers and breeders met in the Grand Hotel, Northampton to put the  breed onto “sound pedigree lines”.
